Click "Get started free", choose your business type, fill in your details, and complete the 7-day free trial checkout.

Wait for approval

Our team reviews every new account and sends you an activation email — usually within a few hours during business hours.

Complete onboarding

Sign in and set your AI agent name, voice, and language. Takes about 2 minutes.

Upload your bookings

Upload a CSV or Excel file with your client bookings. NeverGhost will map the columns automatically.

Start calling

Click Run on any booking. Your AI agent calls, confirms or reschedules, and updates the status — all automatically.

Account & Approval

All new accounts are reviewed by the NeverGhost team before activation. This keeps the platform trusted and your clients protected.

⚠️ NHS users: After approval, sign in at /neverghost-nhs.html — not the main dashboard. NHS accounts have a dedicated portal.

🔬 Research users: After approval, access the Research Module at /research.html. Your login credentials work across both.

Business Onboarding

Once approved, a short onboarding flow guides you through three steps:

Uploading Bookings

Go to Clients in the sidebar and click "Upload Spreadsheet". Accepted formats: .csv, .xlsx, .xls — max 10 MB.

💡 Replace All replaces your existing bookings entirely. Add to Existing merges new rows in without removing previous ones.

Running Confirmations

Click the Run button on any booking row to trigger a single AI call. The AI will introduce itself by name, read out the appointment details, and ask the client to confirm, reschedule, or cancel.

Use Run All Pending to process your entire queue in one go — calls are automatically spaced to avoid congestion.

✅ Calls typically last 45–90 seconds. Statuses update automatically as each call completes.

Call Outcomes

ConfirmedThe client verbally confirmed their appointment.
RescheduledThe client requested a different time. New details are logged in the notes column.
CancelledThe client cancelled their appointment.
No AnswerCall was not picked up, went to voicemail, or was busy. You can retry at any time.
FailedCall could not connect — usually an invalid or unrecognised number format.
PendingCall has been placed and is awaiting an outcome update.

Languages

NeverGhost supports 60+ languages. The AI greets clients in the language you configured in Agent Settings. You can also override the language per client.

Customising Your Agent

Go to Settings → Agent to personalise how your AI sounds and introduces itself:

Custom Prompts

Select Custom as your prompt style to write your own AI call script. Use these placeholders — they are filled in automatically at call time:

💡 Keep custom prompts concise — under 300 words works best. The AI will always ask for verbal confirmation at the end regardless of your script.

🔬 Research Module Research Accounts

The Research Module lets you run AI-powered phone surveys at scale. Instead of appointment confirmations, your AI agent conducts structured interviews with study participants and automatically logs their responses.

Available to accounts registered as a Research Organisation — universities, NHS research teams, market research companies, and independent researchers.

Creating a Study

New Study

Click New Study. Give it a title, your organisation name, and researcher name — these are used in the AI's opening introduction.

Add Questions

Add your survey questions. Each question has a type: Open (free answer), Scale (1–10), Yes/No, or Multiple Choice.

Add Participants

Upload a CSV or add participants manually. Required: Name and Phone. Optional: Language (defaults to English).

Set to Active

Change the study status to Active before placing any calls.

Running Survey Calls

Select a study, then click Call All Pending. The AI introduces itself, explains the purpose of the study, works through each question in order, and thanks the participant at the end.

⚠️ Always obtain informed consent from participants before placing research calls. Ethics approval and consent are the researcher's responsibility — NeverGhost provides the calling technology only.

Viewing Results

Click Results on any study to view all participant responses in a table. From there you can:

NHS Account Setup NHS Accounts

NHS accounts use a dedicated portal with specialised patient management tools separate from the standard business dashboard.

Register

Sign up at the main page and select NHS / Healthcare as your business type.

Wait for approval

NHS accounts are reviewed manually. You'll receive a confirmation email once activated.

Enter your trust name, department, and calling preferences during first-time setup.

NHS Call Types

PIFU — Patient Initiated Follow-Up

PIFU lets you manage patients who paused their RTT pathway and proactively re-engage them when they are ready to return to care.

Adding a PIFU patient

  1. Go to the PIFU tab in the NHS portal.
  2. Click Add Patient — enter their name, phone, language, pause reason, and an optional review date.
  3. Click Save. The patient appears in the queue with a Pending status.

Click Call on any patient row to place an AI call. The AI sensitively acknowledges the pause reason and asks if the patient is ready to re-engage with their care pathway. Use Call All Pending to process the full queue.

Troubleshooting

Call outcome not updating

Outcomes update automatically within 3–5 minutes of the call ending. If nothing has updated after 5 minutes, click Refresh in Call History. If the problem persists, contact hello@techwithadeola.com.

Call shows "Failed" immediately

The phone number may be in the wrong format. Use international format — e.g. +447911123456 for UK numbers. Numbers without a country code may not connect.

File upload not working

Check the file is .csv, .xlsx, or .xls and under 10 MB. Make sure there is a header row and that the required columns (Name, Phone, Service, Date, Time) are present.

I haven't received my approval email

Check your spam or junk folder. If it's not there after 24 hours, email hello@techwithadeola.com with the address you signed up with.

The AI is speaking the wrong language

Go to Settings → Agent and update the default language. For individual clients, you can also set a per-client language in the Clients section.

FAQ

How quickly are calls placed?

Calls initiate within seconds of clicking Run. Typical call duration is 45–90 seconds.

What happens if the client doesn't answer?

The outcome is marked as No Answer. You can re-run the call at any time — there is no limit on retries.

Does the AI leave voicemails?

By default the call ends when voicemail is detected. If you'd like voicemail support enabled for your account, contact us.

Can I use my own phone number?

Calls are placed from NeverGhost-managed numbers. Custom caller ID is on our roadmap — contact us if this is a priority for your business.

How many calls can I make?

Your monthly allowance depends on your plan — Starter (50 calls), Pro (150 calls), Business (300 calls). Unused calls do not roll over. Upgrade anytime from your account settings.

Can I cancel my subscription?

Yes, at any time. Email hello@techwithadeola.com. Access continues until the end of your current billing period.

Is my data secure?

Yes. All data is encrypted in transit and at rest. Each account can only access its own data — client lists from one account are never visible to another. We never share your data with third parties for advertising or profiling. See our Privacy Policy for full details.

I'm a researcher — do I need ethics approval?

NeverGhost provides the calling technology. Obtaining participant consent and any required institutional ethics approval is your responsibility as the researcher. We recommend completing this before running any calls.
