We collect information you provide directly to us, information collected automatically when you use our service, and information from third-party services we integrate with.

• Account data: name, email address, business name, phone number, country.
• Booking data: client names, phone numbers, appointment dates and times you upload to the platform.
• Call data: call transcripts, durations, outcomes, and AI-generated summaries from calls made via Vapi.
• Usage data: pages visited, features used, login times, IP address, browser type.
• Payment data: processed by our payment provider (Stripe). We never store card numbers.

3. How We Use Your Information

• To provide, maintain, and improve the NeverGhost service.
• To initiate AI phone calls to your clients on your behalf.
• To send you confirmation emails, status updates, and service notifications.
• To enforce our Terms of Service and prevent fraud or misuse.
• To comply with legal obligations.

4. Your Clients' Data

When you upload client contact information to NeverGhost, you act as the data controller for that data. You confirm that you have lawful grounds to share this data with us and to contact these individuals via AI phone calls. We process this data solely to provide the service you have requested.

Client call transcripts are stored securely and may be retained for up to 180 days for quality assurance. You can request deletion at any time.

5. Data Sharing

We do not sell your personal data. We share data only with:

• Vapi AI — to initiate and manage phone calls.
• Twilio — to send SMS confirmations.
• Resend — to send transactional emails.
• Supabase — our database and authentication provider.
• Netlify — our hosting provider.
• Legal authorities — when required by law.

6. Data Security

We use industry-standard security measures including TLS encryption in transit, row-level security on our database, and server-side API key management. No method of transmission over the internet is 100% secure; we cannot guarantee absolute security.

7. Data Retention

We retain your account data for as long as your account is active. Call transcripts are retained for up to 180 days. You may request deletion of your data at any time by emailing hello@techwithadeola.com.

8. Your Rights (UK GDPR)

If you are based in the UK or EEA, you have the right to:

• Access the personal data we hold about you.
• Correct inaccurate data.
• Request deletion ("right to be forgotten").
